A page reaches other people only if its scope allows it. Personal pages stay with you, directory pages travel with their place in your directory, and global pages — dashboards among them — are shared across your organisation. Publishing is how the edits you make to a shared page reach the people who can see it.
Personal, directory and global scope
Every page has one of three scopes, and you choose it when the page is created. The scope decides where the page lives and who, if anyone, it is shared with. It is fixed once set: a page built as personal cannot be handed to your team later, so pick the scope that matches who the page is for.
- Personal pages are private to you. Only you can open one, and it appears in your own navigation. Your changes are saved as you work, so there is nothing to publish. See Personal pages.
- Directory pages belong to a place or thing in your directory. You open one by going there, and it follows that item's own access — anyone who can see the item can see its page. See Directory pages.
- Global pages are not tied to the directory. They are shared with people across your organisation and reached from the app's main navigation. A dashboard is a global page. See Dashboards.
Directory and global pages are the shared kinds, so their edits are handled as a draft. You make your changes first, then publish when the page is ready, and only then do the people it is shared with see what you changed. Until you publish, they keep seeing the last version you published, not your work in progress. A personal page has no draft — because it is yours alone, every change is live for you the moment you make it.
Scope is set when a page is created and does not change afterwards. If you build something in a personal page that others should see, create a global page for it and rebuild it there. To start a shared dashboard from scratch, see Creating your own dashboard.
Who can see what
Who can open a page follows its scope, and for a shared page you decide the rest.
A directory page rides on its place in the directory. You do not share it on its own — grant someone access there and its page comes with it, so managing who sees the page means managing who can reach that branch. To open a branch of the directory to someone, see Access and sharing.
A global page is shared directly. Through its access settings you choose who can open it and who can edit it, the same way you share part of the directory, and you can pass on only the access you hold yourself. For the steps to grant access to a person, see Directory sharing.
Whether you can create or share pages at all depends on your role. If you cannot find a way to add or share a page, ask your administrator.
Sharing a dashboard lets someone open it; it does not widen what the panels count for them. Every figure is built from entries, so a dashboard only ever shows each person the entries they are allowed to see. Two people reading the same shared dashboard can see different totals, depending on which parts of the tree each of them can reach. Per-site tabs work the same way — see Per-site dashboard tabs.
